Let's say you've just booked Stevie Wonder and Lady Ga-Ga for your annual end of year company event. And Jay Leno is slated to open for both of them. Now you'll need some basic tips on A/V (audio/video) , and setup to insure that everything will go alright.
If you think about it, unless you're hiring heavy hitter performers - presentation and entertainment don't require much. It just takes using a little common sense and for you to do a little math. The performers and their performance speak for itself.
You'll want to make sure that you have enough space for everyone to see and hear what's going on. But there's a chance that you'll have to balance your issues of space with your equipment costs.
What I mean is, if you're doing a rear-screen projection, you'll need around 12 feet of space between the back wall and the last row of seats.
If you've maxed out your space with chairs for seating, hang your projectors from the ceiling. However, expect that your costs to possibly rise. Because hanging your projector will probably be more expensive than using a rear projector. So you'll need to consider whether fitting 30 to 40 people into the room compensates for the costs of hanging the screen.
You'll need a stage. And keep in mind - the larger the stage, the less room you'll have for tables. You'll lose room on either side of the stage because of the risers too. Risers usually come in multiples of six-by-eight feet.
I suggest you don't set your tables parallel to the stage. What you could do is place the stage and riser in a corner and save yourself some space. But what could happen is, this could result in empty space in the back of the stage, if you don't have a specially sized stage.
If you're planning to add a dance floor and you want to keep it "basic", probably a three-by-three foot dance floor square per every three guests will be sufficient.
Because you've got Lady Ga-Ga and Stevie Wonder performing, I suggest that you budget about 10 square feet per band member and 20 square feet for the beat keeper, the drummer.
